Marketing Coordinator
Experience Columbus
Summary:
Reporting directly to the VP, Marketing, this position provides administrative support and data entry for the marketing department of Experience Columbus.
Major Responsibilities:
- Responsible for database entry and management in CRM/CMS system
- Edit and approve events submitted by the community through Ohio Event Finder
- Provide data entry for calendar of events for Experience Columbus and the Greater Columbus Sports Commission
- Tag events for website homepage exposure
- Maintain and update list annual events in the city
- Track and log member inclusion for marketing campaigns
- Create and update member and non-member website listings
- Find and add photos to website event listings
- Edit and approve member listings for website and publications (Visitor Guide and Tour Planner Guide)
- Assist with pulling and mail merging listings for publications
- Provide data entry and assistance with media tracking and reporting in CRM
- Work with Director, Interactive Marketing to maintain blog schedule, edit and post blog content provided by contracted writers
- Work with Marketing Manager to keep images, content and blog posts up-to-date on relevant pages throughout the website
- Provide marketing assistance
- Provide selections of Columbus events for featured placement in Arts in Ohio assets
- Responsible for ordering business cards
- Responsible for coordinating and scheduling professional head shot photos
- Maintain “superuser” status on production management software system, provide training and troubleshoot
- Assist as needed with preparation of sales presentations, marketing materials and proofreading
- Maintain updated content in the employee Intranet (the CAN)
- Assist with digital asset manager platform: photo and video requests, maintaining files and publishing links
- Check and update contacts in crisis communications center on a quarterly basis
- Assist with pulling events for local media
- Put together media welcome gifts
- Provide support to the VP, Marketing
- Coordinate meetings with community members by collecting availability, confirming location and issuing invitation; assemble meeting packets, order food, set up room and record minutes if necessary; validate parking; reset room post-meeting
- Collect, compile and generate monthly marketing board report
- Proof and edit materials as requested
- Provide support for staff traveling or out of the office by responding to requests or finding solutions to situations that need immediate attention
- Respond to all phone calls and emails on a timely basis
- Carry out day-to-day administrative tasks
- Make and archive travel arrangements, submit travel expense reports, etc.
Other Responsibilities:
- Provide coverage during breaks, lunch and full staff meetings for the Visitor Information Specialist (on a rotating schedule)
- Attend Experience Columbus and member functions as requested
- Maintain and organize marketing storage area
Education and Experience:
- A 4-year degree from an accredited college or university is preferred.
- Three (3) years of previous marketing and/or communications experience preferred.
- The organization requires all employees to obtain and maintain their Certified Tourism Ambassador™ (CTA) designation.
