ASAE Manager
Experience Columbus
Summary: Provide coordination/services expertise for Experience Columbus prior to and during the American Society of Association Executives (ASAE) convention: 2019 for Convention Services, Events, Convention Sales and Government Affairs. Potential to continue work within Convention Services or Events upon successful completion of ASAE Manager role.
Major Responsibilities:
- Coordinate all central files and information for ASAE including but not limited to:
- Scheduling, attending, and recording all committee and working group meetings
- Maintain the data base for communication with committees, members, staff and volunteers
- Assist with volunteer schedules for all events during ASAE
- Record and help coordinate project timelines for all service needs, marketing materials, events (Including permitting), sponsorship fulfillment and government involvement
- Maintain sponsorship presentation calendar, commitments and fulfillment requirements
- Coordinate with Interactive Marketing for all social media for ASAE
- Work with Director of Interactive Marketing on venue database project
- Record and work with venues on booking policy for rooms and special events
- Identify community groups and make presentations about the importance of ASAE (audiences include: Crossroads SID, CMH Ambassadors, CTA's, Short North, Arena District, etc.)
- Help prepare, maintain and distribute information on ASAE to the public and hospitality community (these would be coordinated through Convention Services, Convention Sales, and Marketing)
- Responsible for transportation system, courtesy car management and VIP vehicles/needs during ASAE
- Assist with hospitality and special event execution
- Oversight of ASAE command center. This includes acquiring equipment and infrastructure
- Coordinate and manage the pre-promote trip to ASAE 2018 in Chicago
Other Responsibilities:
- Assist with other VIP service needs prior to ASAE (Women's Final Four, Arnold Sports Festival and other industry groups that serve as a training tool prior to ASAE).
- Participate with events team during NCAA Women's Final Four, Experience Columbus Annual Meeting, and Women's Sports Report
Education and Experience:
- Bachelor's degree in hospitality management, communications, marketing or related field preferred
- 2-3 years' experience in event planning, convention services preferred
- CMP certification preferred
- The organization requires all employees obtain and maintain their Certified Tourism Ambassador (CTA) designation

- Highly organized, detail oriented, enthusiastic, creative and excellent teamwork orientation
- Strong written and verbal communication skills
- Excellent time management skills, planning and project management skills, competency to work well under pressure, and manage information coming from multiple sources
- Customer service skills
- Confident public speaker with the ability to direct the activities of large groups of staff and volunteers
- Ability to maintain composure under pressure
- Strong knowledge of Microsoft Windows applications and social media tools
- Desktop publishing, computer graphics and/or design experience with Photoshop and Illustrator a plus
